What we do with your details when you contact us, and nothing more. Last updated 25 October 2026.
Who is responsible
Max van Oort, Sint-Pietersplein 1–2, 1670 Pajottegem, Belgium, max.vanoort@outlook.com. Hof ten Berg CTA BV is being set up; once it is registered, the company takes over this role and its details will be listed here.
What we collect
- Enquiry form: what you type in it: name, team, email, phone, dates, number of riders and staff, and your message.
- Email, phone and WhatsApp: what you send us, and your number or address.
- Visiting the site: our host's servers see your IP address and browser details, as every website does, to deliver the pages and keep them secure. We don't use this to identify you.
We don't ask for more than this, and we don't buy or collect data about you from anywhere else.
Why we use it
- To answer your enquiry and, if you book, to arrange and run your team's stay. This is the step you ask for before a contract (GDPR article 6(1)(b)).
- To keep the site working and safe (our legitimate interest, article 6(1)(f)).
- To keep invoices and accounting records when you book, because Belgian law requires it (article 6(1)(c)).
No newsletters or marketing unless you ask for them. No profiling, no automated decisions.
Who else sees it
We never sell your details or share them for advertising. Only these services handle them for us:
- Netlify (USA) hosts this site and receives the enquiry form. Transfers outside the EU are covered by Netlify's data processing agreement, which includes the EU standard contractual clauses.
- Microsoft Outlook: the enquiry is forwarded to our email inbox.
- WhatsApp (Meta), only if you choose to message us there; WhatsApp's own privacy terms apply.
- OpenFreeMap supplies the map tiles on the home page. Your browser asks it for the map when you scroll to the map, so it sees your IP address. We send it nothing else.
- Google Maps, only if you click "Open in Google Maps".
If you book, our accountant sees what's needed for the invoices.
How long we keep it
- Enquiries that don't lead to a stay: deleted 12 months after our last contact.
- If you book: as long as needed for the stay and the contract; invoices and accounting records for 7 years, as Belgian law requires.
Cookies
This site sets no cookies, uses no analytics or tracking, and stores nothing on your device. The fonts come from our own server. That's why there's no cookie banner.
